01 Introduction
Welcome to LabCare, a laboratory management application developed and operated by Eqsoft Business Solutions Pvt Ltd ("we", "us", or "our"). LabCare is designed to streamline laboratory workflows including patient management, test processing, billing, and results reporting.
This Privacy Policy explains how we collect, use, store, retain, and delete your personal information when you use the LabCare mobile application and related services. By installing or using LabCare, you agree to the terms described in this policy.
This policy constitutes an electronic record in accordance with the Information Technology Act, 2000 and rules made thereunder. It does not require any physical, electronic, or digital signature.

02 Information We Collect
We collect the following categories of information to provide and improve LabCare services:
Name, email address, phone number, staff/user role, and login credentials when you register or are provisioned an account by your laboratory administrator.
Patient demographics (name, age, gender, contact details), test orders, sample information, diagnostic results, and billing records entered by authorized laboratory staff. This data is processed under your laboratory's authority as the data controller.
Device model, operating system version, app version, IP address, and general usage patterns (such as features accessed and session duration) for diagnostic and improvement purposes.
Information from support requests, feedback submissions, and in-app communications you send to us.
We do not collect unnecessary sensitive personal data. Sensitive health data (diagnostic results) is collected solely to fulfill LabCare's core laboratory management functions.
03 How We Use Your Information
We use the information collected for the following specific purposes:
- Providing, maintaining, and improving the LabCare application and its features
- Authenticating users and managing account security
- Processing laboratory test orders, generating reports, and facilitating result delivery
- Enabling billing, invoicing, and financial record management within your laboratory
- Sending system notifications, test result alerts, and important service announcements
- Troubleshooting technical issues and providing customer support
- Analyzing aggregated, anonymized usage data to enhance application performance
- Complying with applicable laws, regulations, and legal obligations
- Detecting and preventing fraud, security breaches, or unauthorized access
We do not use your data for unsolicited marketing without your explicit consent, nor do we sell your personal information to third parties.
04 Sharing of Personal Information
We may share your information only in the following limited circumstances:
Within LabCare, data is accessible to authorized personnel of your registered laboratory organization. Your laboratory acts as the data controller for patient information.
Trusted third-party vendors who assist in hosting, cloud infrastructure, analytics, and technical support — bound by strict data processing agreements and confidentiality obligations.
We may disclose information when required by law, court order, government authority, or to protect the rights, safety, and property of Eqsoft, LabCare users, or the public.
In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction, subject to equivalent privacy protections.
We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes.
05 Data Retention Policy
We retain your personal data only for as long as is necessary to fulfill the purposes described in this policy, or as required by applicable law. The following table outlines our specific data retention periods:

Patient health records and financial data may be retained beyond standard periods where required by applicable Indian medical or financial regulations (e.g., Clinical Establishments Act, Income Tax Act). In such cases, access to this data is strictly restricted and the data is securely archived.
Upon expiry of the applicable retention period, personal data is securely deleted using industry-standard data destruction methods or irreversibly anonymized so it can no longer be associated with any individual.
06 Data Deletion Request
You have the right to request the deletion of your personal data from our systems at any time. LabCare provides two convenient methods to submit a deletion request — an instant in-app option and an online request form:
Delete Account In-App
Delete your account directly from within the LabCare app — no waiting required. Your account and associated data will be permanently removed.
How to do it:- Open LabCare app
- Go to Settings
- Tap "Delete Account"
- Confirm your identity
- Account deleted immediately
Submit a Deletion Request Form
Use our official online request form if you are unable to access the app or need to request deletion of specific data categories beyond your account.
Form fields required:- Your LabCare username
- Registered email address
- Reason for deletion
What Happens After Your Request
Immediate (In-App) or Acknowledgement within 7 Working Days (Form)
If you use the in-app delete option, your account is removed immediately. If you submit the online form, our admin team will acknowledge and process your request within 7 working days.
Data Review & Verification
We verify your identity using the details provided (username and registered email address) and identify all personal data linked to your account across our systems.
Permanent Deletion or Anonymization
Your account data, login credentials, and personal identifiers are permanently deleted or irreversibly anonymized. You will receive a written confirmation once this is complete.
Certain data categories cannot be immediately deleted where retention is mandated by law:
- Patient health records required under Indian medical regulations (retained up to 7 years)
- Financial and billing records required under the Income Tax Act or GST regulations
- Data subject to an active legal dispute, investigation, or court order
In such cases, we will clearly notify you of the specific exception and the expected deletion date.

07 App Permissions
LabCare requests only the permissions necessary to provide its core features. Here is an explanation of each permission and its purpose:
You can manage or revoke app permissions at any time through your device's Settings → Apps → LabCare → Permissions. Revoking certain permissions may limit some app functionality.
08 Data Security
We implement industry-standard security measures to protect your data against unauthorized access, disclosure, alteration, or destruction:
- Encryption in Transit: All data transmitted between the LabCare app and our servers is encrypted using TLS 1.2 or higher.
- Encryption at Rest: Sensitive data stored on our servers is encrypted using AES-256 encryption.
- Access Controls: Strict role-based access controls ensure only authorized personnel can access specific data within their scope.
- Secure Authentication: We support strong password policies.
- Regular Security Audits: Our systems undergo periodic security assessments and vulnerability testing.
- Data Breach Response: In the event of a data breach, we will notify affected users and relevant authorities as required by applicable law within 72 hours.
While we take all reasonable precautions, no method of electronic transmission or storage is 100% secure. We encourage you to use strong, unique passwords and to log out of LabCare when not in use.
09 Children's Privacy
LabCare is a professional laboratory management application intended for use by healthcare professionals, laboratory staff, and authorized organizational users. The app is not directed at or designed for children under the age of 13.
We do not knowingly collect personal information from children under 13. If we discover that we have inadvertently collected data from a child under 13 without verified parental consent, we will promptly delete such information from our systems. If you believe a child has provided us personal information, please contact us at support@eqsoft.com.
Users under the age of 18 must use LabCare only under the supervision of a parent, legal guardian, or responsible adult, and only as permitted under the Indian Contract Act, 1872.
10 Your Rights & Choices
Depending on your location and applicable law, you may have the following rights regarding your personal data:
- Right to Access: Request a copy of all personal data we hold about you.
- Right to Correction: Request correction of inaccurate or incomplete personal data.
- Right to Deletion: Request deletion of your personal data (see Section 6 above for the full process).
- Right to Portability: Request your data in a structured, machine-readable format.
- Right to Restrict Processing: Request that we limit how we use your data in certain circumstances.
- Right to Object: Object to processing of your data for marketing or profiling purposes.
- Right to Opt-Out: Unsubscribe from non-essential marketing communications at any time by contacting us or updating your in-app notification preferences.

11 Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

- Send an in-app notification or push notification to active users
- Where required by law, request renewed consent for any material changes in data processing
